Account information. When you create an account, we collect your name, email address, and password (stored in hashed form).
Financial and transaction data. When you upload or connect your data, we collect the contents of the files you provide, which may include bank statements (PDF, PNG, JPEG), CSV files, and accounting software exports. This may include transaction descriptions, amounts, dates, account numbers, and other financial information contained in those files.
Branding materials. If you upload a logo or letterhead for your reports, we store those files to apply them to your generated reports.
Recipient information. If you share reports with a CPA or other professional, we collect the email address you designate for that recipient.
Usage and technical information. We automatically collect standard technical information such as IP address, browser type, device information, and pages visited, and we use cookies as described in our Cookie Policy.
Communications. If you contact us (by email, chat, or voice), we collect the content of those communications, including AI-assisted interactions.
3. How We Use Your Information
We use your information to:
- Provide, operate, and maintain the Service;
- Categorize transactions, reconcile accounts, and generate financial reports;
- Apply your logo and letterhead to reports;
- Send reports to recipients you designate;
- Respond to your questions and support requests via our AI assistant;
- Improve the Service and diagnose technical issues;
- Comply with legal obligations and enforce our Terms.
We use AI and machine learning models to process your data. These models may be provided by third-party AI providers; your data may be processed by those providers solely to deliver the Service to you.
4. How We Share Your Information
We do not sell your personal or financial information. We share it only in the following circumstances:
- At your direction. When you choose to share a report with a CPA or other professional, we send that report (and the information it contains) to the recipient you designate.
- Service providers. We share data with third-party providers that help us operate the Service (such as AI model providers, email/communication providers, and payment processors, if any), subject to confidentiality obligations.
- Legal compliance. We may disclose information if required by law, regulation, legal process, or a valid governmental request, or to protect the rights, property, or safety of MyLedgerMind, our users, or the public.
- Business transfers. In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this Policy.
5. Data Retention
We retain your account information and the data you upload for as long as your account is active, and for a reasonable period afterward to comply with legal obligations, resolve disputes, and enforce our agreements. If you close your account, we will delete or de-identify your data in accordance with our Cancellation & Refund Policy, except where retention is required by law.
6. Data Security
We use reasonable administrative, technical, and physical safeguards to protect your information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for safeguarding your login credentials and for the security of the data you choose to upload or share.
7. Your Choices and Rights
Depending on your jurisdiction, you may have rights to access, correct, delete, or export your personal information, or to object to or restrict certain processing. To exercise these rights, contact us using the information in Section 9. You may also close your account at any time.
8. Children's Privacy
The Service is not directed to individuals under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will take steps to delete it.

The Service is operated from the United States. By using the Service, you consent to such transfer and processing.
